Full disclosure: I'm an office administrator for a 300-person nonprofit. I manage facilities and event equipment ordering—roughly $200,000 a year and 70 separate orders across 15 vendors. I report to operations and finance. I'm not an AV engineer. But in 2024, I led our team through a Daktronics LED display purchase for a 200-person event hall. If you're buying or replacing a fixed indoor LED event display, this is for you. Maybe you're upgrading an auditorium, adding a video wall to a conference center, or pricing Daktronics products for a multipurpose room. The steps below apply to that kind of purchase.
It's not for everyone. If you need a display for one trade show weekend, rent it. Don't buy a six-figure wall for a one-time event. And if you're building a stadium video board with camera feeds and instant replay, get a broadcast specialist involved. This checklist is intentionally practical, not universal.
The Six-Step Checklist
The short version: viewing distance. Pixel pitch. Same spec sheet. Installation plan. Lifecycle cost. References. Written PO. In that order.
Step 1: Know Your Viewing Distance Before You Ask for a Price
Pixel pitch is the distance in millimeters between the centers of two adjacent pixels. A P2 LED display has a 2mm pitch. Lower pitch means higher resolution, and usually a higher price.
The mistake is buying the finest pitch on the spec sheet because it looks impressive. When I compared a P2 and P3 quote side by side for our room, I finally understood why the details matter. P3 looked fine from 25 feet away. But our front row sits 12 feet from the wall. Up close, P3 was visibly grainy. P2 was worth the extra cost for our space.

Step 2: Build One Spec Sheet and Make Every Quote Match It
Daktronics LED display price is not a single line item. The panels are the obvious cost, but the controller, processor, cabling, mounting, commissioning, and training all show up somewhere. If you ask three vendors for a "10 by 6 LED wall," you'll get three different systems.
Our first quote looked cheap because it was panels only. The second quote included "basic installation." The third quote included a structural engineer who said the mounting frame needed to be bolted to the floor. The third quote was the one we should have started with.
Write the spec before you talk to vendors: screen dimensions, pixel pitch, brightness, refresh rate, viewing distance, mounting method, and power requirements. Send the same sheet to every vendor. Then compare apples to apples.
To give you a range, our 10-by-6 P2 wall with controller, mounting, commissioning, and a three-year service package came to roughly $78,000. That's our number in our market. Your quote will be different.
Step 3: Ask for the Installation Plan in Writing Before You Approve the Quote
This is the step I skipped, and it cost us. We saved a little money with a quote that didn't include structural work. Then the structural engineer said the wall couldn't support the screen. Steel support and labor added $4,800. The "cheaper" quote ended up being the more expensive one.
An LED event display is not a TV. It has weight, heat, power draw, and cable paths. Ask these questions before you sign:
- Who handles structural mounting: Daktronics, the integrator, or a third party?
- What electrical work is included, and what's an add-on?
- Does the quote include commissioning, training, and an as-built drawing?
- What counts as a service call, and how fast does support arrive?
Don't accept a verbal "we'll handle it." Get it in the proposal.
Step 4: Price the Lifespan, Not Just the Panels
Daktronics products are built for institutional life. That's part of why the price can look higher up front. But the real question is what the display costs to own for seven years.
When I compared service options, I learned the difference between warranty and support. Warranty covers defective panels. Support covers labor, troubleshooting, spare modules, and response time. For a wall that gets set up and broken down 40 times a year, support was worth it. If our screen were permanently mounted and our AV team could do basic fixes, I might have skipped the contract. It depends on your situation.
Per FTC advertising guidelines (ftc.gov), product claims need to be truthful and substantiated. That sounds like a legal footnote, but it's a practical buying rule: get brightness, refresh rate, and longevity promises in writing. If a vendor won't commit them to a proposal, that's a red flag.
Step 5: Call the People Who Already Own One
Brochures are easy. Facility managers are honest. Ask the vendor for three Daktronics installations similar to your use case. Ideally, go see one.
When we visited, I asked three questions: How often do panels fail? How long does a replacement module take to arrive? Did the final invoice match the original proposal?
The college town hall's scoreboard had been running for ten years. That one detail told me more about Daktronics products than any sales deck ever could. One bad reference would have changed the recommendation.
Step 6: Put Everything in the Purchase Order
I've made the mistake of trusting a vendor that couldn't provide a proper invoice. Finance rejected the expense, and we ate $2,400 out of the department budget. Now I verify invoicing and contracting before I let anyone near a PO.
Your PO should line out every deliverable: display panels, controller, processor, cables, mounting, electrical, commissioning, training, spare parts, warranty start date, service response times, and delivery schedule. If it's not in the PO, it doesn't exist.
Pitfalls I Learned to Watch For
- Buying a finer pixel pitch than the viewing distance demands. P2 is the trend, but P3 is often enough when the front row is far away. More pixels cost more money.
- Comparing hardware cost only. Installation and supporting infrastructure can add a meaningful chunk. Our add-ons came to about 35% over the panel quote.
- Forgetting content. An LED wall exposes weak slides. Budget for someone to update your event templates.
- Assuming power and network are ready. We had to add a dedicated circuit and an Ethernet drop. Neither was in the original quote.
Final Word
This checklist worked for us because we bought a fixed indoor display for a specific room. If you're a production company setting up in a different venue every week, your checklist should be different. If you're building a system that will appear on national TV, bring in an engineer.
Buy the right screen for the room. Get every line in writing. And make sure your finance person can approve the invoice without a headache. That's the version of "success" I now aim for.
