The 7-Step LED Display Checklist I Use Before Approving Any Installation

I'm a quality and brand compliance manager in the commercial display industry. I review every LED screen installation before it reaches the customer—roughly 200+ projects a year. In 2024, I rejected about 15% of first-time installs. Not because the panels were broken, but because the specs didn't match the environment, the mounting wasn't properly engineered, or the software integration was an afterthought.

This checklist is for anyone specifying or approving a display: a smart LED screen for a corporate lobby, a DJ LED display for touring, a sports scoreboard, or a permanent digital signage installation. It's the same list I run through before I sign off on anything. Seven steps. Step 4 is the one almost everyone skips.

Step 1: Verify the Pixel Pitch Against the Real Viewing Distance

Pixel pitch—the distance between LED pixels in millimeters—determines how close a viewer can get before the image looks grainy. The industry rule of thumb: minimum viewing distance in meters is roughly equal to the pixel pitch in millimeters. A 4mm pitch screen looks sharp at 4 meters. A 10mm pitch only works if your viewers are 10 meters or farther away.

Don't just trust the vendor's spec sheet. Walk the site and measure the closest spot a person will actually stand. I rejected two installs this year where the viewing distance was half what the spec required—the client would've been staring at visible pixels every day.

For video content, use pitch × 1.0 as your minimum distance. For static content, pitch × 1.5 is tolerable. If the screen will display text and logos, you have more flexibility. If it's showing live video or fast-moving content, tighten the spec.

Step 2: Match Brightness to the Environment

Brightness is measured in nits. Here's the ballpark: outdoor screens in direct sunlight need 5,000–7,000 nits. Indoor commercial spaces need 500–1,500 nits. A DJ LED display in a dark venue doesn't need 6,000 nits—it'll look harsh, waste power, and end up running at 30% brightness anyway.

Match the spec to the environment, not the sales brochure. And for outdoor installs, check the IP rating. IP65 means protection against dust and low-pressure water jets. That matters for a screen mounted on a building facade. It's irrelevant for a lobby display.

Step 3: Demand the Color Calibration Report

High brightness doesn't mean accurate color. Ask for the factory calibration report and check the Delta E value. Delta E measures the difference between the screen's output and a reference color. A Delta E below 2 is excellent for brand-critical colors. Above 4, the difference is visible to the average viewer. When I say visible, I do not mean subtle.

This matters more than most buyers realize, especially for sports and corporate work. Team colors, logos, broadcast cameras—they all expose color inaccuracies. Add a color tolerance clause to your contract, something like Delta E ≤ 3 after calibration. Most reputable LED manufacturers can meet that. The surprise in my experience wasn't panel failures—it was how often color drift went unnoticed until a broadcast camera made it obvious.

Step 4: Test the Software Integration Before Installation

Here's the step that gets skipped nine times out of ten. Everyone checks the physical screen. Almost nobody verifies the control software until the screen is mounted and wired.

If you're planning a content management workflow—QL digital signage software integrations, a cloud platform, whatever—test it with the actual hardware before it goes on the wall. Not a simulator. The real screen. I've seen projects stall for two weeks because nobody checked whether the API actually connected. The hardware was basically fine. The content management side was a mess.

Set up user accounts while you're at it. Every person who needs access should have their own login. Shared logins are a red flag. If five people are using one Daktronics login to manage a screen, nobody knows who changed the brightness schedule, who pushed the wrong playlist, or who left a test pattern running overnight.

Role-based access exists in most control platforms, including Daktronics' own software. Use it. Give content editors edit-only access, give facility managers scheduling access, and keep admin credentials in a password manager—not on a sticky note under the desk.

Step 5: Confirm the Mounting Is Engineered, Not Just Strong

A good LED screen on a bad mount is still a liability. For permanent outdoor installs, that means engineering drawings, wind-load calculations, thermal management, and corrosion protection. For indoor installs, the wall structure needs to handle the weight and the brackets need to be rated for it.

For touring or DJ setups, the priorities shift. Check the rigging hardware, the transport cases, and the panel locking mechanisms. Modular panels that get assembled and disassembled regularly develop connector wear long before the LEDs degrade.

And think about maintenance access now, not later. If a module fails in the middle of the wall, how does your technician reach it? Scaffolding? A lift? Or do they have to dismantle the entire screen? That question separates a maintainable installation from an expensive mistake.

Step 6: Define the Support Path Before You Sign

LED screens don't fail often. But when they do, you want a support line that answers. Define the support path before you commit, and ask these questions:

  • What's the response window for a critical failure?
  • Are spare modules stocked, and at what cost?
  • Are firmware updates included or a paid add-on?
  • Is there remote diagnostics capability?

Daktronics support is well structured—remote monitoring, technical teams, spare parts through their network. But your service level depends on the contract. Get it in writing. Don't accept "we'll take care of you" as a guarantee.

Check license terms too. I've inherited systems where the software license had lapsed, leaving the screen stuck on old firmware with known bugs. If your workflow depends on digital signage software integrations, confirm who owns the license, when it renews, and what it costs.

Step 7: Document Everything

Serial numbers for every module type, controller firmware versions, network IP addresses, calibration dates, login credentials stored securely, warranty documents, and the installer's contact. I keep a file for every installation I approve. When something fails eighteen months later, I start with that file.

A minimum documentation set:

  • Model numbers and quantities for every module type
  • Controller and firmware versions
  • Network topology—where the screen connects and who manages it
  • Calibration dates, both factory and onsite
  • Warranty registration confirmation

Half the support tickets I've seen could've been resolved in one phone call if the owner had this information on hand.

Common Mistakes I Keep Seeing

Buying on brightness alone. A bright screen with poor color and a bad viewing angle is still a bad screen. It just looks convincing in a showroom.

Specifying the screen before the content. You can't pick resolution, brightness, or aspect ratio intelligently if you don't know what content you'll show. Design the content first, then specify the screen.

Ignoring ambient light. A screen that looks great in a covered atrium can be washed out by afternoon sun through glass. Visit the site at the time of day the screen will be used most.

Skimping on maintenance access. The cheapest install location is rarely the most maintainable. Pay for good access now, or pay for a lift rental every time a module needs replacing.

When This Checklist Doesn't Apply

Honestly, this checklist assumes a permanent or semi-permanent installation. If you're renting a screen for a one-off event, your process is different—the rental company's maintenance program is doing the heavy lifting. And if you're working on a very tight budget, you won't be able to follow every step. That's fine. Just know what you're trading off.

My experience is based on roughly 200 commercial projects—sports venues, corporate campuses, schools, event spaces. If your project is outside that range, your mileage will vary. And to be clear about the brand side: Daktronics is a strong choice for permanent installations where long-term support, control software maturity, and calibration consistency are priorities. If you need a throwaway screen for a two-week pop-up, there are cheaper options that will get the job done. No single vendor fits every scenario.

Bottom line: the screen is only half the project. Software, support, and documentation are what make it work in the long run. Run all seven steps, and you'll catch the problems before they become expensive ones.
